We’re hiring a Full-Time Logistics Manager

LOGISTICS MANAGER- PHILADELPHIA, pa

Position requirements are as follows:

Administrative Responsibilities

• Pay invoices and manage open invoices, pay vendor bills and organize receipts/documentation

• Saving and tracking receipts for all purchases

• Obtaining and managing vendor W9s and COIs

• Archive projects in file systems upon completion

Logistics Responsibilities

• Manage client product orders (procurement, tracking, issues, payments) and communicate status to team

• Update internal POs weekly with actual product costs based on bank transactions

• Track ETAs of products

• Manage pricing on projects when differentials show up - communicate and track differentials and coordinate with design managers on invoicing for those differentials when necessary

• Track errors/pricing differentials on projects to summarize in end-of-project reconciliations

• Communicate and coordinate with a variety of vendors/contractors/service providers, as necessary

• Coordinate with consultants, furniture dealers, product reps, and fabricators to meet overall project objectives

• Supervise and direct vendors and suppliers

• Establish new trade accounts with vendors and update internal systems with new information

• Schedule and organize installations with Vestige Home warehouse and assist with installations on site, as required

• Pick up and drop off materials/products, and run errands as needed

• Maintain Vestige Home client product storage area

• Receive products to Vestige Home studio and update/maintain the tracking for products with estimated shipping dates, received dates, and delivery dates

• Provide input to, create, and update company systems and processes

Design Support

• Coordinate with consultants, furniture dealers, product reps, and fabricators to meet overall design intent/goals

• QC project room boards, work with Operations Officer on resolution of outstanding issues, calculate warehousing costs, and convert to invoices prior to design presentations

• Occasionally assist designers with obtaining updated quotes, suggesting alternative vendors, and investigating shipping info

• Add products to design library when needed

• Update or create invoices as needed

General

• Participate in staff meetings

• Manage multiple projects on a daily basis and communicate effectively with team and clients about project status

• Ability to prioritize issues to meet deadlines and provide high quality, prompt service to clients and team members

• Responsible for some client contact and communicating goals and responsibilities to project team

• Ability to work well under pressure, juggle and prioritize multiple projects and adjust work accordingly

• Make recommendations for company or project efficiencies and solutions to problems

• Contribute to office activities, initiatives and learning programs

• Development and documentation of new company procedures, and internal systems and their updates, as required

Qualifications:

• Experience working in the home/design industry (or a strong personal interest) preferred

• Be extremely well organized and attentive to details

• Knowledge of the Mac computer environment (MS Outlook, MS Excel, and MS Word )

• Obsessed with providing an incredible customer experience

• Ability to lift up to 50 lbs. and be on your feet for a significant portion of the day

• Regular access to a vehicle for making deliveries/running errands

• Ability to travel on occasion to trade shows

• Comfortable and knowledgeable enough to offer solutions and feedback on company processes to increase efficiency or better our systems as we grow
